Offline POS Mode

YellowPOS is a cloud platform, but the POS is built around one assumption: your internet will drop, usually at the worst moment. Here's exactly what keeps working when it does, what still needs a connection, and how every sale ends up on your account once you're back online.

What "offline mode" actually means

There's no separate offline app or mode to switch on. The moment you open the POS while connected, your product catalog, prices, and stock levels load into the browser. From there, the register keeps running locally — it doesn't need to ask the server anything to add an item, apply a discount, or complete a sale. It only needs the server for two things: that first load, and pushing finished sales up once they're done. If the connection drops in between, nothing in that gap stops working.

What keeps working when the internet drops

  • Browsing and searching products already loaded on the page, including barcode scanning.
  • Building the cart — adding items, changing quantities, selecting variants.
  • Discounts and delivery amounts, applied exactly as normal.
  • Completing the sale — recording the amount paid, the payment method, and the change due.
  • Printing the receipt, since the receipt window is built and printed by the browser, not the server.
  • On-screen stock counts drop immediately as you sell, so you don't ring up more of an item than you actually have left on that screen.

In practice, a cashier working through an outage sees almost no difference from being online — the sale completes, the receipt prints, and the till carries on.

What still needs a connection

Two things: the very first load of the POS on a given device (it needs one online visit to cache your catalog before it can work offline), and actually uploading a finished sale to your account — which happens automatically once you reconnect, not while you're mid-sale. Between those two points, you can sell as much as you like offline.

How sync works when you're back online

Every sale you complete offline is saved to the device in a queue — full item list, discount, delivery, payment amount and method, cashier, and order number. YellowPOS listens for your connection coming back and immediately starts uploading that queue in the background, one order at a time, removing each one as the server confirms it. You don't press anything; it just happens. The same check also runs the next time you load the POS, in case the connection returned while the tab was closed.

The Unsynced Orders view

If there's ever a queue waiting, a badge shows the count next to Unsynced Orders in the POS's Quick Actions. Opening it shows every order still waiting — order number, cashier, items, and total — and the list updates live as each one syncs, so you can watch the queue clear in real time. If you'd rather not wait for the automatic retry (say, you can see your Wi-Fi icon is back but nothing has moved yet), there's a Retry Sync button in the same view that forces an attempt immediately and tells you what happened — synced, or still failing and why.

Frequently asked questions

Does YellowPOS work without internet?

Yes. Once the POS page has loaded, you can keep browsing products, building a cart, applying discounts, and completing sales with no connection. Each sale is saved on the device and uploaded automatically the moment your internet comes back.

What happens to a sale I make while offline?

It's saved on the device exactly as if it went through — item list, discount, delivery, the payment amount and method, and the change due. Nothing is lost. It sits in a local queue until your connection returns, then YellowPOS uploads it and creates the order on your account automatically.

Can I take payment for an order while offline?

Yes. Recording a payment — cash or any other method you use at the register — doesn't need a live connection; it's just part of the order data that gets saved on the device and synced later, same as everything else in the sale.

Will I accidentally oversell an item while offline?

Not on the same device. YellowPOS reduces the on-screen stock count for each product the moment you add it to a cart, so if you sell the last two units in one offline sale, the next customer's cart on that screen shows it as out of stock. The stock figures on your account itself are corrected once the order syncs.

How do I know if I have orders waiting to sync?

A small badge appears in the POS whenever there's a queue, and the Unsynced Orders button in Quick Actions lights up with a count. Open it to see every order still waiting — it updates live as each one syncs, and there's a Retry Sync button if you want to force an attempt immediately instead of waiting.

Do I need to install an app for offline mode to work?

No. It runs in your regular browser on any phone, tablet, or laptop. Open the POS once while online so the page and your product catalog are loaded, and it keeps working through outages after that.
