Creating a Wholesale Price List
If you sell to resellers, distributors, or bulk buyers, they all ask for the same thing: your price list. YellowPOS builds it for you. Set a wholesale price on your products and export a clean, branded PDF — or an Excel file — of every wholesale item, straight from the Products page. No separate spreadsheet to keep in sync, and it's always up to date.
What this actually gives you
Most shops keep their wholesale prices in a Word file or an Excel sheet that lives on one person's laptop. It goes out of date the moment a cost changes, and it looks like exactly what it is — a spreadsheet. The wholesale price list in YellowPOS is different: it reads your real product data, so the prices are always current, and it comes out as a branded document with your logo and contact details that you can hand a buyer without embarrassment.
You get it in two formats. A PDF — polished, branded, ready to email, WhatsApp, or print. And an Excel file — the raw Name, Category, and Wholesale Price, for a buyer who wants to import it into their own system.
1. Set a wholesale price on your products
Every product has a wholesale price field next to its normal (retail) price. Fill it in for each item you want resellers to see. This is the same wholesale price the POS uses when you flip a cart to bulk pricing, so you only set it once and it works in both places.
The rule that keeps the list clean: a product only appears if it has a wholesale price. Anything you leave blank is quietly left off. So your price list never accidentally exposes your whole retail catalog — it shows only what you actually sell wholesale.
2. Choose what goes on the list
At the top of the Products page there's an Export button. Open it and click Wholesale Price List. A small window opens with three choices:
- Categories — pick one, a few, or leave it empty to include every category. Useful when a buyer only stocks one line and doesn't need to see the rest.
- Sort by — name (A–Z or Z–A), wholesale price (cheapest or dearest first), or grouped by category.
- Include out-of-stock products — leave it ticked for your full range, or untick it so the buyer only sees what you can ship today.
- Include private (hidden) products — items you've hidden from your online store are still on the list by default. Untick this to send buyers only what's publicly listed.
3. Export as PDF or Excel
Then pick your format in the same window:
- Export to PDF — the branded document for buyers.
- Export to Excel — the raw data for import or calculations.
The file downloads instantly. There's nothing to save on the server and nothing to keep in sync — every export is generated from your live prices at that moment.
What's on the PDF
The PDF header carries your logo, business name, phone, email, address, and MOF number on one side, and the document title, date, item count, currency, and the categories the list covers on the other — the same layout as your invoices, so it reads as an official document. Below that is a simple table: Name, Category, and Wholesale Price, one row per product, priced in your display currency.
A short footer notes that prices are subject to change — a small but useful line when the market moves, as it does in Lebanon.
Keeping it current
Because the list is built on demand, there's no "old version" floating around. When a supplier cost changes and you update a wholesale price, the next export already has the new number. The habit to build is simple: re-export before you send. It takes two clicks and guarantees the buyer is looking at today's prices, not last month's.
How it fits with wholesale at the POS
The wholesale price you set here is the same one the POS uses. When a reseller walks in, you can flip the whole cart to wholesale pricing with one tap — no separate products, no manual discounts. The price list is the document side of the same feature: the POS charges the wholesale price, and the price list tells buyers what those prices are. There's a full walk-through in the POS guide.
Frequently asked questions
How do I create a wholesale price list in YellowPOS?
Give each product a wholesale price on its edit screen, then go to Products, open the Export menu, and click Wholesale Price List. A short window lets you pick the categories, the sort order, and whether out-of-stock or private items are included — then export it as a PDF or an Excel file. YellowPOS builds the list automatically from every product that has a wholesale price, so you never type it by hand or keep a separate spreadsheet.
Which products appear on the wholesale price list?
Only products that have a wholesale price set. A product with no wholesale price is left off entirely, so the list stays a clean B2B document without your full retail catalog leaking in. From there you narrow it further when you export: choose one or more categories, untick the out-of-stock option if you only want items you can actually ship, and untick the private option to leave out anything you've hidden from your online store.
Can I make a price list for only some categories?
Yes. When you open the Wholesale Price List window you can select as many categories as you like — one line for a buyer who only stocks that line, a few for a mixed order, or none at all to include your whole wholesale range. You can also sort the list by name, by wholesale price, or grouped by category, so the document arrives in the order that suits the buyer.
Is the PDF branded with my business details?
Yes. The PDF carries your logo, business name, phone, email, address, and MOF (tax number) in the header, plus the date, the number of items, and the currency. It looks like a document you'd send a distributor, not a raw data dump.
What's the difference between the PDF and the Excel export?
The PDF is the polished, branded document you send or print for resellers. The Excel file is the raw data — Name, Category, and Wholesale Price — for when a buyer wants to import it into their own system or you want to do your own calculations.
Does the price list update when I change a price?
There is no stored file to go stale. The list is generated fresh every time you export it, so it always reflects your current wholesale prices. Change a price, export again, and the new number is there.
Which currency does the price list use?
The PDF shows prices in your account's display currency and prints the currency code in the header, so a buyer is never guessing whether a number is USD or LBP. If you work in dual currency, set your display currency before exporting.
