Order & Booking Notification Emails
When a customer places an order on your storefront or requests a booking, YellowPOS emails you straight away. You can now choose where that email lands: the account you log in with, your business email, or both. This guide covers the three options, which one to pick, and what the setting does not change.
The three options
The setting lives in Settings → Features → Order & Booking Notifications, and it is a single dropdown with three choices:
- Account email — the address every admin on your team signs in with. This is the default and how notifications have always worked. If you have three admins, all three get the email.
- Business email — the contact address on your business profile, the one that appears on your invoices and storefront. Only that address is emailed; admin logins are not.
- Both emails — every admin account email and your business email. If they overlap, the duplicate is removed and the email is sent once.
There is no Save button. Pick an option and it applies immediately, from the very next order.
Account email vs business email
These are two different addresses and it is worth being clear on which is which.
Your account email is what you type into the login screen. It was verified when you registered, it receives your password resets, and for most owners it is a personal address — a Gmail, an Outlook, whatever you already had.
Your business email is set under My Business, alongside your name, phone, address and logo. It is the public-facing contact address: it prints on your invoices and it is what customers use to reach you. Very often it is a shared inbox like info@ or orders@ that more than one person reads.
Before you switch to Business email, open My Business and check the address is current. That inbox is about to become the only place new orders are announced.
Which one to pick
Stay on Account email if you are a one-person business, or if you and your admins are the only people who handle orders. It is the simplest arrangement and it needs no maintenance.
Switch to Business email when someone other than the account holders needs to see incoming orders — a shop manager, a delivery coordinator, a part-time assistant. Point your business email at a shared inbox and everyone who should see orders sees them, without you handing out a login. It is also the right choice if your personal inbox is loud enough that a new order gets buried in it.
Use Both emails during a handover, or when you want the shared inbox to be the working record while you still keep an eye on things personally. It is the safest option and the noisiest one; most businesses settle on one or the other after a few weeks.
What gets sent
The setting controls two emails, both of them sent to you, not to your customer:
- New order — subject line New Order #number, with the customer's name and phone, the delivery address or pickup, every line item with quantities and prices in your displayed currencies, any note the customer left, the totals, and a link straight to the order in your dashboard.
- New booking request — subject line New Booking Request, with the service, the customer's details, and the date and time they asked for, so you can confirm or cancel it.
What it does not change
Customer emails are untouched. Order confirmations, booking confirmations and cancellations, and digital download links all still go to the customer's own address exactly as before. This setting only decides which of your inboxes hears about a new order.
POS sales are not affected. There is no notification email for an in-store sale — you rang it up yourself. This is about orders and bookings that arrive while nobody is watching the dashboard.
Nothing else moves. Subscription reminders and account emails still go to the account they belong to.
If an email does not arrive
Check the spam folder first — the first message from a new sender to a shared inbox often lands there, and marking it as not spam once is usually the whole fix. Then confirm the address itself: open My Business and read the business email carefully, because a typo in it is a valid address that simply belongs to nobody.
If the recipient list would end up empty — a blank business email, say — YellowPOS falls back to your admin account emails rather than sending nothing. A missed notification should never be the cost of a misconfigured setting.
Whatever happens to the email, the order itself is safe. Notifications are sent after the order is recorded, so a mail problem can never lose you a sale — every order is in your Orders list regardless.
Changes are logged
Switching the option writes an entry to your activity log with the name of the user and the option they chose. If notifications suddenly stop arriving where you expect, the log tells you who moved them.
Frequently asked questions
Where do order notification emails go by default?
To the account email of every admin on your team — the address each of them signs in with. That is the Account email option, and it is what every business starts on. Nothing changed for you unless you pick a different option.
What is the difference between my account email and my business email?
Your account email is the address you log in with and the one that was verified when you registered. Your business email is the contact address on your business profile — the one that appears on your invoices and your storefront. They are often different: a personal Gmail to sign in with, and info@ or orders@ for the business.
Can I send notifications to both?
Yes. The Both emails option sends to every admin account email and to your business email. If your business email happens to be the same as an admin account email, it is only sent once — duplicates are removed.
Which emails does this setting control?
New online orders placed through your storefront checkout, and new booking requests from your booking page. It does not change customer-facing emails — order confirmations, booking confirmations, and digital download links still go to the customer exactly as before.
Does this affect in-store POS sales?
No. There is no notification email for a POS sale, because you are standing at the register when it happens. This setting is only for orders and bookings that arrive while you are not looking.
What if my business email is empty or wrong?
If the chosen recipient list would end up empty, YellowPOS falls back to your admin account emails so a notification is never silently lost. A wrong-but-valid address is a different matter — the email is sent and it goes to the wrong inbox, so check the address on your business profile after you switch.
Can I send notifications to an address that is not an account and not the business email?
Not directly — the setting picks between the addresses YellowPOS already knows. To route notifications to a shared inbox such as orders@yourshop.com, set that address as your business email under My Business, or forward it from there in your mail provider.
Who can change this setting?
Anyone with access to Settings. The change is recorded in your activity log with the name of the user who made it and the option they chose, so you can always see who redirected the notifications and when.
