Calendar

The YellowPOS calendar puts every date your business has to keep in one view. That means your tasks, your customers' bookings and table reservations, the day each unpaid invoice is due, and the day each open quotation expires. Each source has its own colour, and you can switch any of them off. You can also add a task by clicking a day, or move one by dragging it. It is included in every plan.

1. Opening the calendar

Click Calendar in the sidebar, just above Tasks.

2. What appears on it

SourceWho sees itWhat is shown
TasksEveryone, their own tasks onlyTasks with a due date. Overdue ones turn red, done ones are crossed out.
ShiftsCashiers see their own published shifts; admins see everyone's, including draftsShifts from the staff schedule, at their actual times.
Time offEveryone, their own; admins see everyone'sDays off, vacation, and sick leave, as all-day items.
BookingsAdmins, once the booking page is activatedPending and confirmed service bookings, as long as the service lasts.
ReservationsAdmins at businesses that use tablesTable reservations, shown as a 90-minute block with guests and table.
Invoices dueAdminsUnpaid and partly paid invoices on their due date, with the amount still owed.
Quotes expiringAdminsDraft and sent quotations on their "valid until" date.

Anything that no longer needs you is left out: canceled bookings and reservations, paid invoices, credit notes, and quotations that were accepted, declined, or expired.

3. Showing and hiding sources

The coloured buttons above the calendar switch each source on or off, and each one shows how many items it has in the period you are looking at. Your choice is remembered in that browser, so if you only ever care about bookings and tasks, hide the rest once and they stay hidden.

4. Month, week, day, and agenda

  • Month shows up to three items a day, with a "+ more" link when there are more.
  • Week and Day show bookings and reservations at their actual times, starting from 6am, with all-day items like tasks and invoice due dates in a row at the top. A red line marks the current time.
  • Agenda lists everything in the month in date order. It is the view the calendar opens on for phones.

Use Today and the arrows to move between periods.

5. Opening an item

Click anything on the calendar to see its details: the date and time, its status, the client, a phone number you can tap to call, the number of guests and table, the amount due, and any notes. Bookings, reservations, invoices, and quotations have an Open button that takes you to their page. Tasks have Mark as done, Remove due date, and Open task board.

6. Adding a task from the calendar

Click any day. A + appears when you hover a day to show it is clickable. Type the task, pick a priority, and press Add task, and it lands on that day. The New task button at the top of the page does the same for any date you choose. Tasks you add here also appear on your task board, in To do.

7. Rescheduling a task

Drag a task to another day and drop it. The new due date is saved straight away. Only tasks move this way: bookings, reservations, invoices, and quotations stay where they are, because changing them affects a customer. To change one of those, open it and edit it on its own page.

What it does not do

The calendar does not sync with Google Calendar, Outlook, or your phone's calendar, and it does not send reminders to you or to your customers. Booking confirmation emails still go out from the bookings page as before.

Using it well

Open the week view on Monday morning and the agenda on your phone before you open the shop. Red items are the ones to deal with first, whether that's an overdue task or an invoice that's past its due date. For a simple weekly routine built around it, read one calendar for your whole business, and for following up on payments and quotes, see invoice due dates and quote follow-ups.

Frequently asked questions

What shows up on the YellowPOS calendar?

Your tasks that have a due date, and your published shifts and time off from the staff schedule. Admins also see everyone's shifts, service bookings, table reservations, invoices that are waiting for payment, and quotations that are about to expire. Each one has its own colour and can be shown or hidden.

Why can't I see bookings or reservations?

Bookings appear once your booking page is activated. Reservations appear for businesses that use tables, like restaurants and cafés. Cashiers only see their own tasks, shifts, and time off, because bookings, reservations, invoices, and quotations are admin pages.

Can I move a booking or an invoice by dragging it?

No. Only tasks can be dragged to a new day. Bookings, reservations, invoices, and quotations are read-only on the calendar because changing them affects your customers. Click one and press Open to edit it on its own page.

Are canceled or paid items shown?

No. Canceled bookings and reservations, paid invoices, credit notes, and quotations that were accepted, declined, or expired are left out, so the calendar only shows what still needs attention.

Does it sync with Google Calendar or send reminders?

No. The calendar lives inside YellowPOS and does not sync with Google Calendar, Outlook, or your phone's calendar, and it does not send reminder emails or notifications.

Which view works best on a phone?

Agenda. It lists everything in date order, and it is the view the calendar opens on for small screens.
