Your Booking Page & Managing Appointments
Once bookings are switched on, you get two things: a public booking page your customers use to request appointments, and a Bookings calendar in your dashboard where you run the day. This guide walks through both — what customers see, how to brand the page, and how to confirm, cancel, and add appointments. If you haven’t enabled bookings yet, start with the Accepting Online Bookings guide first.
1. What your booking page looks like
Your public booking page lives at yellow-pos.com/your-business/reservations. Customers land on a grid of service cards — each showing the service image, name, duration (e.g. “45 min”), price if you set one, and star ratings from past customers. They tap a service, then:
- Pick a date on a calendar — available from tomorrow up to your booking window.
- Pick a time from the slots that are still open. Fully-booked times show as unavailable automatically.
- Enter their details — name and phone are required; email and notes are optional. A reCAPTCHA check keeps out spam.
After submitting they see a confirmation screen and, if they gave an email, a “request received” email. Every request arrives with the status Pending — nothing is auto-confirmed, so you stay in control of your calendar.
2. Make the page match your brand
Open Booking Page Design in the sidebar to style the page without touching code. You can set your theme colour (used for buttons and highlights), choose a font, and upload a banner image for the top of the page. If you run promotions, an Offers & Deals carousel can appear above your services so customers can book a deal directly.
3. The Bookings calendar
Open Bookings in the sidebar to see your week. Each day is a column with every request shown as a card — time, customer name, service, phone, and any notes. A coloured stripe tells you the status at a glance: yellow for pending, green for confirmed, red for cancelled. Use the arrows in the header to move between weeks, or Today to jump back. Across the top, four counters — This Week, Confirmed, Pending, and Cancelled — are clickable filters so you can, for example, show only what still needs confirming.
4. Confirm, cancel & delete
Each booking card has its own actions:
- Confirm — turns a pending request green and emails the customer to let them know the appointment is confirmed. Use this once you’ve checked the time works.
- Cancel — marks the booking cancelled and frees the slot for someone else. The customer is not emailed automatically, so reach out if you need to.
- Delete — removes the booking from the calendar entirely. Both Cancel and Delete ask you to confirm first so nothing disappears by accident.
5. Add a booking yourself
Phone and walk-in customers don’t have to use the page — click New Booking to add them manually. Pick the service, choose a date, and the available times load automatically (the same slots customers see). Add the customer’s name and phone, optionally their email and notes, and set the status to Pending or straight to Confirmed. It then sits on the calendar alongside your online requests.
6. Export & notifications
Need the week on paper or in a spreadsheet? Use the PDF or Excel export buttons — both respect whichever status filter is active, so you can export just the confirmed appointments for the day. Behind the scenes, every new request also emails you and your admins, so you never miss one even if you don’t have the dashboard open.
