Tasks & Kanban Board
YellowPOS has a built-in task board with three columns: To do, In progress, and Done. You add a task, drag it across as the work moves, and see what is overdue without opening anything. Every user gets their own private board, and it is included in every plan. It sits next to your orders and stock, so the follow-ups that come out of running the shop live in the same place.
1. Opening the board
Click Tasks in the sidebar. You can also open the check icon in the top bar, which shows a quick list of your open tasks, and press Open task board at the bottom.
2. What the three columns mean
- To do: work you have not started yet.
- In progress: what you are working on right now.
- Done: finished work. Cards here are faded and crossed out, and they stay until you delete them.
Each column header shows how many tasks it holds, so a glance tells you whether too much is stuck in progress.
3. Adding a task
There are two ways to add one.
- Quick add. Press + at the top of any column, type the task, and press Enter. The box stays open so you can type the next one straight away. Press Esc to close it. New tasks always land at the top of their column.
- Full form. Press New task at the top right of the page to set a title, details, priority, status, and due date in one go.
A title can be up to 190 characters and details up to 5,000. Quick-added tasks get Medium priority, unless you have a priority filter switched on, in which case they take that priority.
4. Priority and due dates
Every task has a priority of Low, Medium, or High, shown as a coloured tag with one, two, or three bars. A due date is optional. When a task has one, its card shows the date and changes colour as the deadline gets close:
- Amber, reading Today or Tomorrow, when it is due in the next day.
- Red, reading Overdue, once the date has passed and the task is not done.
YellowPOS does not send reminder emails or notifications for due dates. The colours are the reminder, so the board works best if you open it once a day.
5. Moving tasks with drag and drop
Grab a card and drag it to another column to change its status, or up and down inside a column to change its order. While you drag, the column under the cursor lights up and a dashed slot shows exactly where the card will land. The new position is saved as soon as you let go.
On a phone or tablet the columns sit side by side and you swipe between them. Press and hold a card for a moment to pick it up, so a normal swipe still scrolls the board.
6. Checking a task off
Click the circle at the start of any card to send it straight to Done without dragging. Click the green tick on a done card to send it back to To do.
7. Editing and deleting
Click a card to open it. You can change any field and press Save task, or press Delete and confirm to remove it for good. Changing the status here moves the card to the top of its new column.
8. Searching and filtering
The search box matches words in a task's title and details. The priority filter next to it shows only Low, Medium, or High tasks. Both apply to all three columns at once. If a column has tasks but none match, it says No matching tasks instead of looking empty.
9. The quick list in the top bar
The check icon in the top bar opens a short list you can reach from any page, including the POS. It shows your open tasks, with in-progress ones first and overdue ones labelled. You can add a task, tick one off, or delete one without leaving the page you are on. Done tasks are hidden there and counted instead.
Who can see what
Tasks are private. Admins and cashiers each have their own board, and only the person who created a task can see, edit, complete, or delete it. There is no shared team board and no way to assign a task to someone else yet. Changes are still written to your activity logs, so an admin can see that a task was created, moved, completed, or deleted.
Using it well
Keep In progress short. Two or three cards there is a day's work, while ten means most of them are really still To do. Use due dates only for things with a real deadline, like a supplier payment or a permit renewal, so that red actually means something. For ideas on what belongs on a shop's board, read a kanban board for your shop, and if you are deciding whether you need a board at all, see to-do list vs kanban board.
Frequently asked questions
Where do I find the task board?
Click Tasks in the sidebar, or open the check icon in the top bar and press Open task board. The board lives at /app/todos and is included in every YellowPOS plan.
Can my staff see my tasks?
No. Each user has their own private board. An admin and each cashier see only the tasks they created, and nobody else can edit, complete, or delete them.
Can I assign a task to an employee?
Not today. Tasks are personal, so there is no assignee field and no shared team board. If you need to hand work to someone, they add it to their own board.
What do the three columns mean?
To do holds work you have not started, In progress holds what you are working on now, and Done holds finished tasks. Drag a card between columns to change its status.
Does YellowPOS remind me when a task is due?
There are no reminder emails or push notifications. A task's due date shows on its card, turns amber when it is due today or tomorrow, and turns red with an Overdue label once the date has passed.
What happens to completed tasks?
They move to the Done column and stay there until you delete them, so you keep a record of what got finished. The quick list in the top bar hides them and only shows how many are completed.
Is anything recorded when I change a task?
Yes. Creating a task, moving it to another column, marking it done, and deleting it are all written to your activity logs with the time and the user's name.
