Activity Logs

The activity log is the history of your business in YellowPOS. Every time someone on your team makes a sale, edits or deletes an order, processes a return, changes a product, or switches a store setting, an entry is written with their name, what they did, and the date and time. You can filter it by period, search it by name or order number, and export it to Excel or PDF. Entries can't be edited or deleted from your account, and the log is included in every plan.

1. Where to find it

Click Logs in the sidebar, under Account. The page lists entries newest first, 25 at a time. For a quick look without leaving the page you're on, click the receipt icon in the top bar. It opens a panel with the 10 latest entries.

2. What gets recorded

The log records what your team does in the admin panel and the POS. Here is what typical entries look like:

AreaExample entry
SalesMaya Khoury created Order: 1482 | Total: 1,250,000, Sub Total: 1,400,000, Discount: 150,000 | Items: 2 × Chicken Shawarma @ 450,000; 1 × Fresh Lemonade @ 500,000
Order editsMaya Khoury edited Order: 1470 | Discount: 0 → 100,000, Delivery: 0 → 0, Total: 900,000 → 800,000
ReturnsRami Haddad processed return for Order: 1465 | Total Returned: 450,000, Credit Note: CN-0012 | Items: 1 × Chicken Shawarma = 450,000
Deletions and voidsRami Haddad deleted Order: 1479
CatalogMaya Khoury updated Product: Fresh Lemonade
SettingsMaya Khoury deactivated Delivery Feature

It also covers payments, debts, expenses, purchases, categories, clients, suppliers, discounts, offers, invoices, quotations, tables, reservations, bookings, reviews, staff shifts and time off, tasks, users, and settings like delivery, payment methods, and displayed currencies.

3. Reading an entry

Every entry reads the same way: who, what they did, which record, then any details, and finally the date and time. The page also shows how long ago it happened.

Sales entries carry the most detail. The total comes first. The sub total, discount, offers discount, tax, and delivery only appear when they're not zero, so a plain sale stays short and a discounted one stands out. Then come the items, as quantity × name @ unit price, with any variant options in brackets. When an admin rings up a sale for someone else, the entry says who it was assigned to.

4. Finding what you need

  • Period tabs: All, Today, Week, Month, and Year.
  • Search: matches any part of the entry. Search a staff member's name to see everything they did, an order number to see its full story, a product name, or a word like deleted, voided, return, or Discount.
  • Advanced search: set a From date and a To date. Both days are included in full. You can set just one of them for "since" or "until".

Search and dates work together. "Rami" with last week's dates shows only Rami's actions that week.

5. Exporting the log

Export at the top of the page downloads the entries that match your current search and dates, newest first:

  • Excel: every matching entry, with the entry text and its date and time in separate columns.
  • PDF: up to the latest 1,000 matching entries, for printing or sending. If there are more, the PDF says so. Use Excel for long periods.

6. Can entries be changed?

No. Neither admins nor cashiers can edit or delete log entries from a YellowPOS business account, and entries stay for as long as your business account exists. That's what makes the log useful when there's a question: what it says is what happened.

Logs appear in the menu for both admins and cashiers. For setting up who can do what, see giving staff POS access.

What it does not record

  • Orders customers place on your online store. Those are in Orders. Anything your team then does to them is logged.
  • Field-by-field before and after values, except for order edits. An entry like updated Product: Fresh Lemonade tells you who changed the product and when, not which field.
  • Sign-ins, and pages someone only looked at without changing anything.

Using it well

Give every staff member their own login, or the log can't tell people apart. Then spend ten minutes a week reading it, ideally right after you close the register. Frequently asked questions

What does the activity log record?

Changes made by your team in the admin panel and the POS: sales with their items and totals, order edits, deletions, returns, voided table tabs, payments, debts, expenses, purchases, products, categories, clients, suppliers, discounts, offers, invoices, quotations, reservations, bookings, staff shifts, tasks, and store settings. Each entry names the person who did it and the date and time.

Can anyone edit or delete a log entry?

No. There is no edit or delete button for log entries in a YellowPOS business account, for admins or cashiers. Entries stay for as long as the business account exists.

Can I see everything one staff member did?

Yes. Type their name in the search box. Every entry starts with the name of the person who made the change, so the search returns all of their actions. Combine it with a period tab or a date range to narrow it down.

Does the log show the old and new value of a change?

For order edits, yes: the entry shows the discount, delivery, and total before and after. For most other records, it shows what was changed, like which product was updated, but not each field's old and new value.

Are online store orders in the log?

No. The log records what your team does. Orders customers place on your online store appear in Orders. Once a staff member edits, returns, or deletes one of those orders, that action is logged.

Can I export the log?

Yes. Export downloads the entries that match your current filters, newest first. Excel includes all of them. PDF includes up to the latest 1,000 entries and says so when it is cut off, so use Excel for long periods.

Is the activity log included in my plan?

Yes. Activity logs are included in every YellowPOS plan.
