QR Code vs Barcode: Which One Goes on Your Product?

Here is the whole answer in one line: a barcode is for your cashier, a QR code is for your customer. They look similar, they both get scanned, and they solve completely unrelated problems. Everything below is the detail behind that sentence.

What a barcode is really doing

A barcode is a picture of a number. That is genuinely all it is — those stripes encode something like 6291041500213 and nothing else. There is no name in there, no price, no photo. The number is only meaningful because your POS holds a record saying "this number is the 500ml olive oil, and it costs $8".

Which is why a barcode has to be saved against the product. The number is arbitrary, so the system must be told what it stands for. In YellowPOS you either type in the barcode printed by the manufacturer, or you generate your own for items that never came with one — handmade goods, bakery items, anything you package yourself.

The payoff is speed and accuracy at the counter. A scan takes a fraction of a second, works at any angle, and does not care whether the internet is up. For a shop with a few hundred products, barcodes are the difference between a thirty-second checkout and a two-minute one, and they remove the class of mistake where a tired cashier rings up the wrong variant at the wrong price.

What a QR code is really doing

A QR code is a picture of text — and it holds a lot more of it, which is why it is a square grid rather than a row of stripes. In retail the text is almost always a web address. For a product QR code in YellowPOS, that address is the product's page on your own store, something like yellow-pos.com/your-business/product/42.

Because the code holds the address rather than the product's details, nothing has to be saved and nothing goes stale. The system rebuilds the code from the product whenever you ask for it. A sticker printed in March still shows August's price and August's photos, because it was never carrying that information in the first place — it was carrying directions to it.

The payoff is on the shop floor rather than at the till. A customer holding your product gets your full product page: every photo, the complete description, all the variants with their stock, and a way to buy it without queueing.

Why you cannot swap one for the other

People sometimes ask whether QR codes could just replace barcodes and save printing two things. In practice, no:

  • Till scanners mostly cannot read QR codes. The handheld laser scanner on your counter reads one-dimensional barcodes. Reading QR requires an image-based scanner, which is a different and more expensive device.
  • A QR code needs the internet to be useful. The code opens a web page. Barcode scanning is entirely local, which matters during a power cut or when the connection drops mid-shift.
  • Customers will not scan a barcode. There is no phone app in normal use that turns your barcode into your product page. The camera reads QR codes natively; it does nothing with a barcode.

Going the other way is just as bad — a barcode cannot hold a web address, so it can never send anyone anywhere.

So which do you print?

Start from the problem you actually have.

Checkout is slow, or staff ring up the wrong item. That is a barcode problem. Generate barcodes for the products that do not have them, stick them on, and give your counter a scanner.

People pick things up, look at them, and put them back. That is a QR code problem. They did not have enough information and were not going to ask. Give them the product page.

Both. Which is most shops, eventually. A shelf label with a barcode on one side and a QR code on the other serves your staff and your customers at once, and costs the same sticker either way.

There is a variety of barcode that carries more than an identifier: the labels printed by weighing scales, which hide both the product code and the weight inside the digits. If you sell cheese, meat, or produce by the kilo, that is the one you want, and it is a separate topic.

What is the difference between a QR code and a barcode?

A barcode stores a short number and is scanned by your staff with a scanner at the till to add an item to a sale. A barcode identifies a product to your system; a QR code sends a person somewhere.

Can a QR code replace a barcode at the till?

Which one do I need for my shop?

If your problem is slow checkout or ringing up the wrong item, you need barcodes. If your problem is customers not knowing enough about a product to buy it, you need QR codes. Most shops eventually want both, on the same shelf label, because they solve unrelated problems.

Do I need to buy special equipment for QR codes?

No. Your customers already own the scanner — it is the camera in their phone. You need a way to print the codes, which for most shops is the label printer or ordinary sticker sheets they already use for price tags.

Why do barcodes have to be saved but QR codes do not?

A barcode is an arbitrary number, so your POS has to store which number belongs to which product in order to recognise it later. A QR code for a product is just that product's web address, which the system can rebuild from the product itself at any time. Nothing needs storing, and nothing can fall out of sync.

Can one label carry both?
